1. Introduction
This Privacy Policy describes how Akasha Nexus (“Akasha Nexus,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with the website at akashanexus.org (the “Site”), our event and membership registration forms, and related services (together, the “Services”). By using the Services, you acknowledge the practices described in this policy.
2. Information We Collect
2.1 Information collected automatically. When you visit the Site, our systems and service providers automatically collect certain technical information. This includes your IP address, browser type and version, device type, operating system, referring web page, the pages you view, and the date and time of your visit. This information is recorded in standard server logs maintained by our hosting provider, and through the analytics tools described in Section 3.
2.2 Information you provide. When you register for an event, apply for or hold membership in the Akashic Network, subscribe to our mailing list, or otherwise contact us, we collect the information you choose to provide. This may include:
- contact information, such as your name, email address, and telephone number;
- profile information, such as your creative practice, links to your work, and how you learned about us;
- registration records, including waiver acknowledgments and media permissions;
- records of the events you register for and attend;
- images of your artwork, where you have given permission;
- notes of our communications with you (we record a call only with your prior consent); and
- records of payments, when payments are offered.
Payment card information is handled by our payment processor. We do not receive or store it.
3. Cookies and Similar Technologies
3.1 Analytics. We use a third-party analytics service to understand how visitors use the Site. The service uses cookies and similar technologies to collect information such as device and browser details, approximate location derived from your IP address, and the pages you visit. We use this information in aggregate to improve the Site, not to identify individual visitors. We have disabled the service’s advertising features. Analytics data is retained for up to 14 months.
3.2 Embedded content. Some pages display content from third-party platforms, such as posts from our social media accounts. When this content loads, the platform that provides it may receive your IP address and browser information, may set its own cookies, and, if you are logged in to that platform, may associate your visit with your account. Each platform’s handling of your information is governed by its own privacy policy.
3.3 Essential cookies. The Site uses cookies necessary for its operation, including cookies set when site administrators log in. Visitors who do not log in do not receive login cookies.
3.4 Third-party tracking and Do Not Track. The third parties described in this section may collect information about your online activities over time and across different websites. Some browsers send a “Do Not Track” signal. The Site does not currently respond to these signals, because no common standard for honoring them has been adopted. Most browsers allow you to block or delete cookies. Doing so may affect how some features of the Site work.
4. Spam Protection
To protect the Site and our forms from spam and abuse, submissions may be checked by an automated spam filtering service. For this purpose, the service may receive the content of a submission, together with your IP address, browser information, and the page from which it was sent.
5. How We Use Information
We use personal information to:
- operate, maintain, and secure the Site and the Services;
- organize events, including keeping them safe;
- operate the Akashic Network and provide member services;
- communicate with you about events, membership, and the network, including by email where you have subscribed;
- keep records of registrations, waivers, and permissions; and
- comply with legal obligations and protect our rights.
6. How We Share Information
We do not sell or rent personal information. We do not share it with third parties for their own marketing purposes. We share personal information only:
- with service providers that perform services on our behalf, such as website hosting, analytics, spam filtering, contact management, file storage, and payment processing, and only as needed to provide those services;
- when required by law, regulation, or legal process;
- to protect the safety, rights, or property of Akasha Nexus, our members, or others; and
- in connection with a reorganization of Akasha Nexus, including its formation as a legal entity. In that event, this policy will continue to apply to the information we hold.
Within our organization, access to personal information is limited to those who need it to perform their roles.
7. Images and Location Data
We take reasonable steps to remove embedded location data from photographs before we publish them. The use of images of people and artwork from our events is governed by the permissions given on our media consent form. You may change those permissions at any time.
8. Data Retention
- Server logs: for a limited period set by our hosting provider.
- Analytics data: up to 14 months.
- Registration, membership, and contact information: for as long as we maintain an active relationship with you, or until you request deletion.
- Records of waivers and permissions, and other records we must keep for legal, administrative, or security purposes: for as long as reasonably necessary for those purposes, including after our relationship ends.
9. Data Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including keeping backups in secure storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your Rights and Choices
You may ask us to:
- give you access to the personal information we hold about you, and a copy of it;
- correct inaccurate information;
- delete your information, subject to the retention purposes in Section 8; and
- change your media permissions.
You may unsubscribe from our emails at any time by using the link in any message. To make a request, contact us at contact@akashanexus.org. We will respond within 30 days. We may need to verify your identity before acting on a request.
11. Children’s Privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Membership in the Akashic Network is limited to individuals 18 or older. When a minor attends an all-ages event, any information about the minor is provided by a parent or legal guardian. If you believe a child has provided us with personal information, please contact us and we will delete it.
12. Changes to This Policy
We may update this policy from time to time. The effective date at the end of this page shows when it was last revised. If we make a material change to how we use information already collected, we will give notice before the change takes effect.
